Office Specialist- DD Residential

Department: Blake Employment & Community Living
Location: Tucson, AZ

General Description:This position is responsible for a variety of direct care giving activities and office support for Community Living program.† The position will require significant amount of field duties as well.† Under daily oversight of the office manager will assist with administrative support and coordination of a variety of actives.† The position will require an individual that exhibits self-motivation, efficient management of time, and is capable of self-management under the supervision of an Office Manager.

These positions will need to meet all of the hiring requirements of a Direct Support Professional (fingerprint clearance, current AZ driverís license and good driving record, physical and emotional requirements.

Main Job Tasks and Responsibilities (with or without an accommodation):

  • The position will require the ability to safely drive and transport members in a variety of corporate vehicles to include compact cars, larger cars, vans, lift vehicles, and maxi-vans. †
  • The position will require the ability to efficiently reconcile financial information with high accuracy
  • The position will require a sensitive as well as professional intercommunication style
  • Answer telephone system, screen calls as needed, transfer calls as appropriate
  • Take and relay messages for staff
  • Provide EBF CLS related information to callers inquiring about services or other business
  • Greet persons entering the reception area, announce arrivals, direct visitors to their destination
  • Prepare letters and/or documents as applicable
  • Receive mail, sort documents and distribute to the appropriate office or staff member
  • As requested, schedule appointments for office, maintain appointment log
  • Appropriately routes incoming and outgoing communications as needed
  • Assists and supports individuals applying for positions in the CLS program
  • Organize and maintain reception area
  • The position will require an individual that is adaptable, detail oriented, general office skills (word processing, excel, basic math/book keeping, multi-tasking, etc.), a high level of energy, superior communication skills, excellent organization skills, writing & editing skills, and proven ability to problem solve

Education and Experience

  • High school diploma
  • Knowledge of administrative and clerical procedures; basic knowledge of computers and relevant software applications
  • Knowledge of customer service practicesí; Data entry and keyboard skills
  • Understandable telephone voice, verbal and written communication skills
  • Professional personal presentation and customer service orientation
  • Attention to detail, initiative, maintain a reliable and flexible work schedule
  • Ability to handle telephone calls with poise, stress tolerance
  • Ability to work cooperatively with other staff and maintain high level of service
  • Present in a well-organized and reliable manner on a day to day basis
  • Ensure efficiency in a busy, member-focused office
  • Maintain professional boundaries and ensure professional intra-office communications at all times.
  • Operate standard office equipment, including but not limited to computers, telephone systems, calculators, copiers, and facsimile machines
  • Improve employee and member retention rates through active communication and problem-solving efforts
  • Establish and maintain team atmosphere while being able to work alone or part of a team
  • Be self-directed, yet work as a collaborative member of the CLS team
  • Be sensitive to cultural and linguistic diversity
  • Work in a fast paced environment with simultaneous performance of many different duties, responsibilities and tasks.
  • Daily priorities may change frequently and the position requires quick response time.
  • Operate desktop computer, Microsoft Office software applications, Windows based software, and other technology as needed.
  • Proficient in the English language to include read, write and speak. Bilingual in sign language or Spanish preferred.
  • Must have a valid Arizona Driverís License, Registration and Insurance at all times
  • Must pass criminal background and maintain valid Level One Fingerprint Clearance.
  • Maintain current CPR, First, Aid, Article IX, Prevention & Supports certification,† Transportation & Lift Training, and supporting individuals with developmental disabilities. (State of Arizona, DES, DDD requirements)

Physical requirements (with or without an accommodation):

The position provides a professional office receptionist supports for a program engaged in the direct care of adults and children with disabilities in all aspects of daily life. Mentoring and direct demonstration of such care is required from time to time. The position requires the following physical requirements:

  • Must be able to remain in a stationary position.
  • Must be able to move to support individuals with developmental disabilities.
  • Must be able to operate a computer, wheelchair brake, vehicle lifts, etc.
  • Must be able to stoop, squat, reach, stretch, ascend and descend stairs.
  • Must be able to communicate with individuals with developmental disabilities. Must be able to distinguish smells such as gas and other noxious fumes.
  • Must be able to lift up to 50 pounds.
  • May work in outdoor weather work conditions.
  • Must be able to operate an agency transport vehicle

Psychological Requirements (with or without an accommodation):

  • Must be able to remain calm, non-defensive with a supportive attitude during stressful, potential crisis, and crisis situations.
  • Must be able to work in an extremely stressful environment where there are considerable mental and emotional demands. Must be able to manage high volumes and unpredictability of work.
  • Must be able to remain flexible and reprioritize according to the changing demands of the day.
  • Must be able to manage stress in a fast-paced, unpredictable, intense setting.
  • Must be able to adapt to diverse cultural environments and communicate in a culturally inclusive manner.
  • Must be able to represent EBF in a professional manner in all situations.
  • Must be able to work productively for extended hours as dictated by member service needs in 24 hour settings.

Working Conditions:

Requires moderate physical activity performing non-strenuous daily activities of a primarily administrative nature.† Requires standing, walking, sitting, stooping, bending, and squatting.† Requires extensive typing and writing.
