BH Clinic Office Manager

Department: Blake Behavioral Health
Location: Tucson, AZ

General Position Description:

The Clinical Office Manager is responsible for managing the front desk operations, maintaining the facility and vehicles, and providing support for the clinical staff at the respective location. This positon will manage the office supplies orders and other IT and program supplies for the Tucson location.

Essential Duties and Responsibilities (with or without accommodation):

  • Responsible for ensuring front desk coverage at the Tucson location by scheduling the admission specialists
  • Supervise the admission specialists from the Tucson location
  • Train all admission specialists, from all locations to ensure a standardized front desk process.
  • Contribute to the development and monitoring of new processes and procedure.
  • Ensure that the EBF policies, processes and procedures for the front desk area are followed
  • Must be able to establish rapport with members and persons presenting to ESBF
  • Conduct the initial screening and triage of member service requests within the required timeframes and communicate with clinical staff if emergency medical situations arise.
  • Maintain communication with clinical staff to facilitate member care.
  • Provides quality customer service to all persons
  • Ensures completion and accuracy of intake packet, benefits status and specialty referral packets.
  • Provides timely notification to other departments to ensure members are assessed within required time frames.
  • Collects data required for documentation to ensure the delivery of prompt member services including benefit lookups, chart lookups, enrollment status and reviewing paperwork for completeness
  • Gathers the required information for the reports needed
  • Reviews various reports and clinical charts to ensure auditing standards are met
  • Keep information confidential and adheres to all program, operational, and personnel policies and procedures
  • Maintains the vehicles used by staff
  • Manages the cellphones and computers inventory for BBHS
  • Responsible for scheduling the initial and follow up clinical, medical and financial appointments
  • Any other duties as assigned

Knowledge and Skills (with or without accommodation):

  • Maintains professional appearance and demeanor
  • Must possess strong customer service skills
  • Appropriate knowledge of behavioral health system and terminology, including RBHAs, Medicaid, Medicare and private insurances.
  • Knowledge of HIPPA and patient privacy rules.
  • Skills in maintaining highly confidential information
  • Ability to work independently and seek supervision appropriately
  • Must be well organized, able to multi-task, detail oriented, accurate, and able to complete projects and assignments in a timely manner
  • Excellent verbal and written communication skills
  • Flexibility and ability to respond to changing priorities
  • Computer proficient (experienced with Microsoft Office Suite)
  • Capable of managing stress in a fast-paced, unpredictable, and high intensity setting
  • Must be reliable, punctual and flexible
  • Displays cultural sensitivity and demonstrates the ability to form constructive and collaborative working relationships with others from diverse cultural backgrounds
  • Ability to communicate in a culturally inclusive manner and being open to other peopleís differences

Minimum Requirements:

  • High school diploma or GED is required with minimum 2 years of office management and supervisory experience
  • Must be at least 21 years of age and able to obtain a Level One Fingerprint Clearance Card
  • Valid Arizona driverís license and the willingness to use personal vehicle in the course of employment.† Must meet minimum requirements of agency insurance carrier
  • Must be able to meet training and agency compliance requirements for the position
  • Spanish speaking preferred

  • Must be able to lift 50 pounds, and go up and down the stairs.
